Module 6 – Personal Workflow Systems
Overview
Productivity isn’t just about individual tasks—it’s about the rhythms and routines that keep you moving in the right direction. In this module, you’ll design daily and weekly rituals that use AI as a partner in planning, execution, and review.
What you’ll learn
- How to design a daily planning ritual with AI.
- How to run a weekly review that leads to real change.
- How to keep your system simple enough that you’ll actually use it.
1. Daily planning ritual
You are my daily planning assistant. I will paste my current to-do list
and calendar for today.
Please:
1) Suggest the 3 most important tasks (MITs) for today.
2) Propose a simple schedule for my day.
3) Highlight any unrealistic expectations or conflicts.
Here is my information:
[PASTE TASKS AND/OR CALENDAR]
2. Weekly planning ritual
You are my weekly planning assistant.
I will paste:
- My main goals for this month or quarter
- My commitments for the upcoming week
Please create a weekly plan that:
- Lists 3–5 key outcomes for the week
- Breaks them into tasks
- Suggests which day I should tackle each task
Here is the information:
[PASTE GOALS AND COMMITMENTS]
3. Weekly review ritual
You are my weekly review assistant. I will paste notes about my week.
Please:
1) Summarise what went well.
2) Summarise what didn’t go well.
3) Suggest 3 improvements for next week.
4) Turn those improvements into specific actions I can schedule.
Here are my notes:

4. Real-life scenarios
Scenario A – Overloaded day
Use the daily planning prompt when your calendar is packed and your task list is unrealistic. Let AI challenge your assumptions and suggest what to drop.
Scenario B – Drift during the week
If you often reach Friday feeling like you “were busy but didn’t move the needle”, use the weekly planning prompt to clearly define outcomes before the week starts.
Scenario C – Stuck in the same patterns
Use the weekly review prompt to identify recurring patterns (e.g. over-committing, avoiding certain tasks) and ask AI to suggest practical adjustments.
5. Mini exercises
- Run a daily planning session for tomorrow using the daily planning prompt.
- Write a short note about last week and run it through the weekly review prompt.
- Create a “Rituals” section in your AI Playbook and paste in your daily, weekly planning, and weekly review prompts.
6. Advanced techniques
- Template reuse: save your favourite prompts as templates in your AI tool.
- Habit stacking: attach your AI planning ritual to an existing habit (e.g. first coffee of the day).
- Quarterly reset: once a quarter, paste your goals and ask AI to suggest what to stop, start, and continue.
Today’s action
- Decide when you will run your daily and weekly rituals (time, day, trigger).
- Run at least one full ritual (daily or weekly) using AI today.
- Capture any insights and adjust the prompts in your AI Playbook.
